The Financial Aid Advisor is responsible for counseling undergraduate and graduate students and maintaining electronic student files. This person will counsel and assist both prospective and current students/parents on the financial assistance process; analyze FAFSA data, Federal IRS tax transcripts and financial verification documents; and establish financial need and generate financial assistance award packages including federal, state and institutional awards/loans. The Financial Aid Advisor will perform verification on student files that are selected by the Department of Education, and will process both departmental and outside awards, as well as state grants. The incumbent will be responsible for knowing and following policies and regulations pertaining to all federal, state, university, and private financial assistance as applicable and interacting with departments to coordinate various student services. This person must uphold the University mission through work performed and perform other related duties as assigned.


  • Responsible for managing approximately 30% of the undergraduate students financial aid files.
  • Meet with students and reply to student/parent inquiries on a daily basis.
  • Generate financial assistance award packages for both prospective and current students. Pro-rate financial assistance awards for students enrolled less than full-time.
  • Review and process Special Circumstance Appeal Request Forms for families who have extenuating circumstances. 
  • Audit files, run queries and reports on a regular basis. 
  • Responsible for reconciling Federal/State funds. 
  • Serve as back up for athletic aid processing. 
  • Perform other related duties as assigned.
  • Coordinate and process departmental awards with other aid. 
  • Assist with updating office forms and brochures when needed. 
  • Coordinate Outside Scholarship funds with other aid and apply scholarship proceeds towards individual student account. - 
  • Serve as back up for EDConnect transmissions. 
  • Process Cal Grant awards electronically via the Webgrants web site. 
  • Complete Federal R2T4 Process for students who withdraw from the university.
  • Audit student files for SAP after every semester. 
  • Attend Financial Aid conferences and workshops. Participate in on campus FA Webinars/Digital Events for prospective/admitted students.
  • Serve on various Committees for our office.
  • Uphold the University mission through work performed.

Skills and Qualifications

Required: Bachelor's degree, 2 years or more student services/customer service/office experience Must be able to multi-task and work as a team player. Ability to work well under pressure, be able to prioritize and meet deadlines. Strong communication and public relations/organizational skills, detail oriented. Well versed in MS Word, Excel and Google Suite

Preferred: Financial aid experience preferred Familiarity with PeopleSoft. Working knowledge of federal programs and regulations. Etrieve/Soft Docs (document imaging software)
